1. Service identity
ADA is a multi-tenant cloud conversational assistant for Android and Wear OS developed and provided by Intellithrive. This notice covers ADA and services directly connected to the app.
2. Scope
It applies to authenticated users, Guest profiles, tenant members and people using voice, memory, documents, calendar, email, billing or external sharing. Third-party services are also governed by their own notices.
3. Categories of data
Depending on features used, ADA may process name, email and technical identifiers; tenants, roles, invitations and devices; audio, transcripts and conversations; voice templates; structured profile and memories; uploaded documents; history and summaries; usage, quotas, plans and receipts; diagnostics and errors; and data needed for email, calendar and user-requested sharing.
4. Audio and conversations
The microphone supplies the voice interaction requested by the user. Audio, transcripts and messages may be sent to the cloud services needed to recognise, process and answer the request. ADA does not make conversations public and does not sell personal data.
5. Voice biometrics
When enabled, ADA may create a voice template to identify the speaker and isolate the correct data and profile. The template is not an audio recording intended for playback, but remains sensitive data and can be removed through available controls or on request. 6. Memory, CoreProfile and protected memory
ADA may retain preferences, structured CoreProfile information and personal or protected content to improve later interactions. These elements are separated by tenant and profile except for explicit sharing or authorised access. Users can manage them or request deletion.
7. Documents and RAG
Uploaded documents and retrieval indexes remain linked to the authorised tenant, profile or scope. They are not public; access depends on roles, ACLs and explicitly configured sharing.
8. Account, tenant, roles and devices
ADA processes accounts, memberships, Owner/Admin/Member roles, invitations and registered devices to organise the service. A Guest profile may exist without an account or membership; its data remains linked to its technical profile.
9. Usage, diagnostics and billing
ADA may record usage, quotas, meters, add-ons and plan; Google Play identifiers and receipts; technical logs, device identifiers, errors and security data. This supports plan delivery, troubleshooting, abuse prevention and applicable obligations.
10. Email, calendar and external sharing
When enabled by the user, ADA processes data needed to send email or access Google Calendar within the granted permissions. Sharing to WhatsApp or another channel occurs only when explicitly initiated by the user; the selected recipient and external service receive the chosen content.
11. Purposes
Data is processed to authenticate and administer spaces; provide conversations and voice features; personalise through memory; search documents; run requested integrations; manage plans and purchases; support users; and maintain security, reliability and compliance.
12. Legal bases
Depending on the data, user and configuration, legal bases may include performance of the requested service, consent where required, legal obligations and legitimate interests in security and operation. TODO: legally validate the detailed mapping for every category and feature before final publication.
13. Providers and transfers
Depending on the feature, providers may include Microsoft Entra External ID for identity, Microsoft Azure for infrastructure and data, OpenAI for AI capabilities, Google for identity, calendar or Google Play, Meta/Facebook only as an identity provider, and WhatsApp only for explicitly initiated sharing. Not every provider receives every category. Data is shared only as needed to deliver the feature. TODO: confirm regions, subprocessors, agreements and international transfer safeguards.
14. Security
Intellithrive uses authentication and authorisation controls, logical separation, protected transmission, security logging and restricted access. No system is risk-free; incidents are handled under applicable obligations.
15. Retention
Data is retained only while needed for the feature, account management, security, disputes and legal obligations. Limited copies may remain in protected backups or logs until their applicable lifecycle ends. TODO: define and publish precise periods by category without introducing unapproved durations.
16. Deletion and control
Users can manage or request removal of their voice template, memories, personal documents, tenant membership or full account. The public ADA account deletion process remains available without reinstalling the app.
17. Rights
Where provided by law, users may request access, correction, deletion, restriction, objection, portability and withdrawal of consent without affecting prior processing. Users may also lodge a complaint with the competent supervisory authority.
18. Children and intended audience
ADA is not designed as a service directed at children. TODO: confirm minimum age, target markets and applicable control mechanisms before public release.
19. Changes
This notice may change as features, providers or laws evolve. Material changes will be highlighted in the app or on this page; the update date identifies the current version.
